Provide real-time updates on audits
Numerous on-site audits from customers and industry organisations occur at Silver Fern Farms’ processing plants across New Zealand throughout the year. It is important to keep employees up to date with who is on-site and why they are visiting to ensure they are prepared and informed. Previously employees have been advised that these visits will take place via face-to-face meetings with their supervisors or a printed newsletter update. A large percentage of employees at processing sites do not have access to company intranet or company emails.
Silver Fern Farms has been using Workplace to ensure employees are informed about the purpose of each visit, including the date, information about the client or organisation, who is visiting and after the visit, the outcome of the audit.
Sharing this information on Workplace helps people at Silver Fern Farms to be informed and feel part of the process, as well as being part of the celebration of a job well done when the audit or inspection has been a success. This aligns neatly with its strategy to create a highly collaborative and engaged team.
How to do it in your organisation in three simple steps:
- Create a Workplace group where updates regarding a customer’s plan to audit and inspect the processing plant can be posted. In Silver Fern Farms, the message is usually sent a week prior to the visit and a link to the customer site is included so people could learn more about the customer and what they do with products from Silver Fern Farms and where they are distributed. - Post a photo and introduction to the customer/auditor in the Workplace group on the day of the audit. This will ensure people at plant know who is visiting their departments and why. This will make it easier for people to interact with the customer.
- Inform everyone the audit had been successful. Plant Manager and CEO to post congratulatory messages.
