Move your intranet to Workplace
As a leading-edge company, Telenor is focused on empowering its employees as much as it is its customers through technology. Telenor identified that old ways of communicating with people, one-way through the intranet, were not allowing them to reach employees and engage in the way users expected. In addition to being aligned to their overall vision to modernise their workplace, replacing their intranet with Workplace allowed Telenor to avoid work duplication and save the cost of maintaining an additional, soon-to-be outdated platform.
How to do it in your organisation in three simple steps:
- Announce your move from the intranet to Workplace to users: At Telenor, the All EmployeeAnnouncements group was re-purposed to become “Telenor Global News”, serving as an official news channel. The move was communicated not only on Workplace and the intranet, but on other channels employees use daily in their communications. As a result of the move, all communications were posted by a handful of people, introduced as “news anchors”. This provided consistency and clarity regarding the tone and sourceof the communications. Telenor chose to make this announcement well in advance of the move, and to slowly transition the news to Workplace to enable employees to grow accustomed to the new home for company stories.
- Train key stakeholders on new expected behaviors: The overall move started at the global level, with a handful of people in the communications team kicking things off. Quickly, each of the twelve business units at Telenor followed suit. The global team trained the internal communications community on: how to create their official news group, the type of content which should be shared and the tone to use for a single voice to come across. “The whole idea was to keep it consistent”, according to Communications Manager Sheikh Hamza Qaiser from Telenor Group.
- Make it easy to find the resources users will need: By putting themselves in the shoes of users, Telenor decided to make it very easy for users to access the content they had in the past. Through a combination of: 1) pinning posts at the top of each BU News group with the key resources for each BU, 2) setting employees’ browsers to land on the right BU News homepage and, 3) developing a bot that will surface static content (e.g. HR Policies) – Telenor is able to anticipate user FAQs and requests.
