Implement “Early Access” programs for internal tools

Illumina uses Workplace groups to test and get feedback on new tools before widely releasing to the company.

Before launching a new tool such as BlueJeans for virtual meetings, Illumina gives access to a subset of employees and creates a corresponding Workplace group. In the group, Illumina posts how to get started resources, live video demos and tutorials, and contests to drive testing, engagement, and feedback from these early access employees. From their insight, Illumina is able to fix bugs and create robust communication plans that answer questions and address use cases.

Illumina deployed Workplace successfully to 100% of the company’s employees in early 2017 and has been innovating on the platform since then. Workplace is the foundation to communication at Illumina and is embedded in all the company’s core communication processes.

How to do it in your organisation in three simple steps

  1. Set up a closed Workplace group with employees in the Early Access program for a specific tool.
  2. Upload user guides, training content, and other resources to the group. Use a pinned post for instructions as needed.
  3. Drive engagement and feedback through contests, polls, and general posts/comments.
