Gather expertise in an agile approach to get fast, quality results
All organizations face change and upheaval. When NBN made a strategic decision to remediate one of the technologies it uses to deliver fast broadband services to homes and businesses across Australia, there were significant implications — one of which was the coordination and governance of the change and communication processes supporting the remediation program.
The program involved input from several hundred NBN employees. More than a dozen weekly meetings running across various streams and sub-streams of the program produced reports, data analysis, steering packs, executive briefing materials and more. How was it possible to collate this information and make sense of it for internal and external stakeholders?
The Program Change and Comms leads turned to Workplace and created a secret group for the Program Community of Practice (CoP). Program updates and information were shared into the group in real time. This meant the CoP was not only able to access relevant data faster and more easily, they had access to each other’s perspectives and expertise as well. The result was an agile approach that turned around the communications processes faster and provided better-informed, higher quality communication outputs.
How to do it in your organization in three simple steps
- Identify your CoP. Who needs to have access to information and who is a valuable source of knowledge? Create a Workplace Group (Privacy = Secret) with the appropriate membership
- Be clear about the expected behaviours for the CoP Group. Encourage it as a single source of truth and platform for discussion and collaboration around relevant matters. Appoint Group Admins who will be proactive and champion the right behaviours
- Reinforce actions with a short, directed weekly team meeting with the CoP. Post agenda and actions items into the CoP group and tag those responsible. NBN also use a chatbot to prep meeting agenda and actions before hand, making the meeting more efficient and providing the same information for all participants.
